General Facility Inspection 

** This service can be offered as a one time event, or as an ongoing Monthly, Quarterly, Semi-Annual or Annual Service.

 

In today’s environment it is imperative for Managers / Owners to understand the physical condition of facilities and their respective systems and components.  The successful operation of these assets is critical to costs related to maintenance planning, project planning and even utility consumption.  Often times, even when there is a dedicated maintenance team, these detailed inspections are simply overlooked due to other facility and/or client issues and priorities. In times where the “mode of operation” is doing more with less, there is very little time for the required focus and attention to perform such comprehensive inspections. Report is inclusive of these key elements;

 

 

  • Overall general condition of the facility
  • Identification of systems needing repair and/or replacement
  • Identification of deficiencies in maintenance practices
  • Identification of deficiencies in vendor provided services such as; Custodial, Landscaping, mechanical/electrical installations, etc
  • If requested, report shall include recommended Best Practices and other implementation needs to not just correct, but mitigate risk of recurrence on found and noted deficiencies.

 

Asset Collection

 

In order to effectively establish and manage maintenance budgets, programs or life cycle planning, you must first have a firm grasp and understanding of what your assets are.  This is a critical facet in establishing maintenance programs, staffing levels and life cycle planning initiatives, yet often times such asset collection efforts fall short of complete due to other conflicting priorities. Bottom line is that no one can effectively manage assets if they are not known.

 

 

 

  • Identification and documentation of facility assets which will be inclusive of; all HVAC, mechanical / plumbing equipment, electrical panel boards and switchgear, floor and wall coverings, asphalt surfaces, parking spaces, roof surfaces, etc.
  • Collected asset data shall be documented in a spreadsheet format shall be inclusive of; Equipment Type, Description, Location, Manufacturer, Model/Serial number, install date (as available), environmental impact rating, general condition rating and end of useful life. (EUL*)
  • If requested, report shall be inclusive of replacement cost* or value* of each documented asset.

 

*EUL sources include; DOE, RSMeans and ASHRAE.

*Value: Cost of like equipment/system

*Replacement Cost: Combined costs for like equipment and installation

 

Risk Assessment

 

It is my personal belief that every facility includes operations that are considered “Critical” to the success of the business and/or business unit.  It is therefore critical to understand and recognize where the potential “single points of failure” are within the physical infrastructure.  This may include Fire Life/Safety Systems, HVAC Systems operation & configuration, Electrical Systems, as well as communication strategies.  This review takes a comprehensive look at specific areas within the facility, evaluates potential impact to the defined critical operation and identifies potential single points of failure. 

 

 

  • Overview of the critical operation
  • Overview of supporting infrastructure and environment
  • Overview of current processes; both execution and communication
  • Documentation of any found single points of failure and/or general risk concerns
  • Recommendations that serve solely to enhance operation and mitigate risk

 

Skills Assessment

 

Let’s face it, we can gather all the information, set-up the best systems with the most complex strategies and establish the best processes, based on “best practice” standards, but if we don’t have the proper skill sets embedded in the team of people that have been charged with executing these processes and maintaining our facilities; it’s all been done with zero long-term positive impact.  In order for us to ensure the effective operation and stability of our systems, regardless of how simplistic or complex, we must ensure that the respective maintenance teams have the knowledge and general understanding necessary to effectively operate and maintain them.  Through this assessment testing initiative; we can learn where the strengths are, and where we need to focus on training and education.

 

 

  • Completion of Skills Assessment exam, which is broken out in specific areas of Mechanical, Electrical, Plumbing and General Maintenance. 
  • Scores are compiled into a spreadsheet format which identifies all the key areas and respective grades, by employee
  • Identifies the primary needs for additional training
  • Identifies employees with special skills sets that you may not otherwise be aware of
  • Recommendation for specific training initiatives

 

Operational Assessment

 

This in many ways is related to the General Building Assessment however, this assessment looks specifically at processes and procedures to determine the overall effectiveness and completeness.  Along with this review of existing processes and procedures, this initiative will serve to identify and document the need for new procedures, or a need to modify existing procedures.

 

 

  • Listing of all current processes, procedures, SOP’s, etc.
  • Evaluation of existing documents detailing the effectiveness, or shortcomings of each
  • Evaluation of staff knowledge, as applicable
  • Recommended enhancements to existing processes
  • Recommendation for additional processes, procedures and/or SOP’s
  • Comprehensive review of existing maintenance system; tasks, frequencies, use and reporting
  • Recommendation for correction of any detected deficiencies with the maintenance system and/or execution thereof
  • As requested, provide guidance and assistance in the development of needed processes, procedures, SOP’s and maintenance standards.

 

Due Diligence Inspections

Due Diligence Inspections are extremely critical components to protect your current and future interests. This process, which incorporates several of the referenced assessment types, would be utilized for meeting Due Diligence requirements; whether you’re looking to purchase an existing facility or recently awarded a contract for management.  Reporting details would likewise be a compilation of several of the others.
